Full Time Reservations & C&B Sales Co-Ordinator, Galway

Salthill Hotel is a very busy Galway Hotel and has a vacancy for an experienced Hotel Reservations & C&B Sales Co-Ordinator to join the team in a high volume sales office. The candidate would be required to primarily deal with bedroom reservations, but would also be expected to deal with Conference & Event enquiries. Please note that this role requires previous relevant Hotel experience, and candidates without Hotel experience cannot be considered.

Duties and Responsibilities Include:

•To ensure all reservations are accepted, recorded and confirmed in accordance with Company policy and in an efficient and courteous manner.

•To ensure accurate and complete entries in the Reservations system in accordance with established procedures.

•To answer Reservation calls as per Company standard.

•To be responsible for the Hotel’s main guest enquiries inbox, responding to all guests in a business-like and appropriate manner.

•To be responsible for ensuring all relevant paperwork is filed correctly and promptly.

•To be responsible for actively selling and converting all enquiries for the Hotel’s meeting rooms and ensure that all relevant information is cascaded to other Departments.

•To ensure complete guest satisfaction through the prompt handling of guest queries in a friendly and efficient manner.

•To have a thorough knowledge and understanding of all standards of performance and delivery within all Reservations and Events Departments.

•To prepare accurate event documentation for all bookings in a timely fashion, and log / file appropriately.

•To co-ordinate the function diary, ensuring data integrity to maximize sales opportunities and drive customer satisfaction.

•To co-ordinate with Sales, Hotel Departments and customers to ensure consistent high level service throughout pre-event, event and post event phases.

•To co-ordinate and communicate verbally and in writing with customers (internal and external) regarding event details.

•To follow up with customer post-event to collate feedback to present at weekly Function Sheet meeting.

•To oversee customer experiences from enquiry through the post event phase until turnover back to sales.

•To proactively identify operational challenges associated works with the Hotel operational team and customer to solve these challenges and/or develop alternative solutions.

•To lead pre-event and post-event meetings for assigned groups.

•To manage group room blocks and meeting space for assigned groups

•To greet customer during the event phase and hand off to the operations team for the execution of details.

•To adhere to all standards, policies and procedures as outlined in the company terms and conditions.

•To conduct both planned and walk-in event show-rounds as necessary in a professional manner, demonstrating full knowledge of the product, services and tailoring the benefits of the guest’s needs.

•To have sound knowledge and understanding of all Hotel Facilities – room capacities, menus and accommodation.

•To attend all Trade Shows and training courses, internal or external, as notified to you by management Sales and Revenue Management

•To identify possible sales leads and pass over for follow up.

•To effectively upsell products and services during the sales process.

•To participate in customer site inspections and assist with the sales process when necessary.

•To effectively manage customer budgets to maximize revenue and meet customer needs.

•To ensure all deposits are received on a timely basis and billing arrangements are adhered to. Debt chasing.

•Assist front office with phone calls, check-ins, check-outs, when necessary

Required Skills: 
This role would suit a multi tasker with excellent organisational skills. The candidate would be required to primarily deal with bedroom reservations, but would also be expected to deal with Conference & Event enquiries. Previous experience in a similar role in a Hotel is essential, together with excellent customer service skills and fluency in the English language.
